Master Key System Design

The new wing was built with its own brand of cylinder, so the two-year-old keys from the original building do not open a single door in the addition. Staff are now carrying two separate key rings just to move around one workplace.

    Who needs to open what

    Before any hardware is chosen, the locksmith records the organization's actual shape: which roles, departments or shifts need access to which doors, including exceptions such as a bookkeeper who needs the records room but not the loading dock. This map is built with the owner or manager, not guessed from existing keys, since existing keys often reflect years of ad hoc copying rather than any real plan. The output is a plain list of who should open what, which becomes the target the rest of the design is measured against, well before a single cylinder is touched or a key is cut.

    Marking and cutting the actual keys

    Keys are cut to the bittings set out in the key schedule and marked in a way that identifies the holder's role or level rather than the door or address it opens, so a key found on its own gives away as little as possible about the building it belongs to. Quantities match what was agreed during the assessment, with each one logged by serial against the person or role receiving it. Blanks for a restricted keyway are cut only against the owner's authorization, keeping future duplication inside the same controlled record.

    Keys that say less if they go missing

    The keys handed over are marked by role or level, not by door or address, so a key that is lost or set down somewhere it should not be tells whoever finds it very little about what it actually opens. Combined with a restricted keyway where one was chosen, this cuts the odds of an unauthorized copy, though the chart still shows that a lost top-level master reaches every cylinder it was cut to operate, which is why that level gets watched most closely.

Keyway chosen: standard or restricted
A restricted or patented keyway costs more in blanks and administration than a standard keyway, since duplication is controlled through the manufacturer's authorized record rather than cut anywhere. Higher-risk doors, such as records or cash rooms, often justify that additional control; lower-risk doors may not.
Any optional upgrade chosen along the way
Some businesses use the project as an opportunity to also upgrade a door closer, add a keypad to one entry, or reinforce a strike plate. None of this is required for the master key system itself, and each optional item is quoted as its own line.
Room reserved for future growth
Building spare capacity into the keying platform so a business can add doors later without a full redesign takes deliberate planning during the design stage. A property with clear expansion plans may choose a platform with more reserved combinations, priced differently from a minimal, current-needs-only design.

Do all the doors on my property need to be part of the master system?

No. Some doors, such as a private office or a room with a single regular user, can reasonably stay on their own key outside the hierarchy if there is no real benefit to including them. The assessment is partly about deciding which doors belong in the system and which are simpler left alone, rather than assuming every lock has to join.

What happens if a master-level key goes missing?

The current chart shows exactly which doors that level was designed to reach, which for a lost top-level master can mean the whole property rather than one group. Depending on how the key was lost and who else already holds that level, the usual options are repinning the affected cylinders and reissuing keys to the remaining holders; a restricted keyway lowers the odds of an unauthorized copy being cut but is not proof that one has not been made. Without a current chart, the first task is reconstructing that scope.

What happens to the old keys once a new system is cut?

Once the new pinning is tested and confirmed working, the old keys no longer operate the cylinders they used to, whether or not they are physically collected back. Collecting them anyway is good practice, since it closes the loop on how many old copies were in circulation and lets the business retire them rather than wonder where they ended up.
